Good timing at your Bali wedding means the food is ready when guests want it. It also helps the caterer to serve each course without interrupting your speeches and photographs.

This When to Serve Food at a Bali Wedding guide will give you a sample timeline and tips to plan your Bali wedding food service with your caterer.

Bali Wedding Food Service Timeline: A Sample

This section gives you a sample food service timeline for a Bali wedding with a late afternoon ceremony.

The timeline assumes:

  • 30-minute ceremony, cocktails and a plated three-course dinner all at the same venue.
  • Short walking distances between the ceremony, reception and dining areas.
TimeActivity
3:30 pmGuests arrive; welcome drinks
4:00 pmCeremony begins
4:30 pmCeremony ends; guests move to the reception area
4:45 pmCanapés and cocktails begin; family photographs
5:15 pmCouple’s portraits
6:15 pmGuests move to the dining area
6:30 pmGuests are seated; brief welcome toast
6:45 pmStarters are served
7:20 pmMain course is served
8:00 pmDessert is served
8:30 pmDinner concludes; optional cake cutting follows
9:00 pmDancing and entertainment begin
10:30 pmOptional late-night snacks

This schedule allows a 90-minute cocktail reception with canapé service, followed by two hours for seating, a welcome toast and a three-course dinner. These are planning estimates. Your caterer will recommend different intervals depending on the menu, number of guests and service arrangements.

If you want to take pictures at sunset, find out what time it will be at your wedding location on your wedding day. Plan your portraits around it, then coordinate with your planner and caterer on the timing of the cocktail reception and dinner.

Bali Wedding Catering Service Timeline Tips

  1. Avoid long periods of time to pass between meals. Welcome guests with a drink. If dinner is hours away, offer light snacks. You can serve canapés at the cocktail reception after the ceremony.
  1. Have speeches between courses. This eliminates interruptions in food service. Have the champagne ready for a toast before the speeches.
  1. Allow more serving time for larger weddings. For a buffet, call guests one table at a time so that they do not have to stand in long lines.
  1. Serve meals to young children sooner. If dinner is scheduled late, serve their meals during the cocktail reception or before the adults’ first course so they do not have to wait too long.
  1. Decide when to cut the wedding cake. If you are serving cake instead of dessert, plan to cut and serve it after the main course. Or have it cut after dinner or before the first dance.
  1. Plan late-night snacks if dinner ends early. If guests will be dancing for hours after dinner, serve snacks later in the evening, before the venue closes.
  1. Prepare for rain. If you are having an outdoor wedding, allow extra time in case you need to move the ceremony or dining area indoors. Moving tables and food stations can slow down dinner.
  1. Allow time for guests to move between areas. If the ceremony, cocktail reception and dining areas are far apart, guests may take longer to reach their tables. So remember this when you are deciding what time to start dinner.
  1. Think about the kitchen facilities at your venue. The kitchen space and equipment in some villas are small. This may mean using an outside kitchen or taking more time to prepare.
  1. Allow more time for longer ceremonies. Weddings with several rituals can take longer than expected. Make sure you give yourself some buffer time between the ceremony and dinner, so if you are running late, it does not impact the rest of your evening.
